Frequently Asked Questions

We've compiled a list of answers to common questions.

What kinds of practices use DocVilla?
Independent practices of every size — solo providers, small and mid-sized groups, and multi-specialty practices — across 20+ specialties including primary care, mental health, pediatrics, med spas and IV therapy, direct primary care, and telehealth-first practices. Whether you’re a solo provider or a multi-specialty group, the templates, forms, and billing rules are configured for your specialty.
Yes — new practices are a large share of the practices that join DocVilla. Because there’s no data to migrate, we set up your templates, forms, fee schedule, patient portal, and e-prescribing before opening day, and our team handles payer enrollment for electronic claims, eligibility, and ERA during setup. See our guides to how to start a medical practice and EHR setup for new practices.
DocVilla is priced per provider, in four tiers — Bronze, Silver, Gold, and Platinum — so you pay for the providers you have and scale as you grow. Current plan details are on the plans and pricing page, and exact pricing for your practice is quoted during a 1-hour demo configured for your specialty.
Onboarding is a guided setup with the DocVilla team: your specialty templates, intake and consent forms, appointment types, patient portal branding, e-prescribing activation, and payer enrollment are configured with you, and your staff is trained on the workflows they’ll use. The scope and schedule are set during onboarding based on your practice and any integrations you need; the setup guide walks through the sequence.
Yes. DocVilla’s team manages the full transition — demographics, clinical notes, documents, and balances. Because every practice’s records are different, we prepare a migration plan and quote after reviewing your data. See the EHR data migration guide for details.
Yes. DocVilla is fully web-based, so third-party AI scribe browser extensions can be used alongside it; depending on that third-party software’s capabilities and your plan with it, its push-to-EHR option can send generated notes into DocVilla SOAP notes. DocVilla’s own AI features — Patient AI Summary, AI claim scrubbing within our billing services, and medical dictation — are described on the AI EHR page.
Yes. DocVilla sends prescriptions through the Surescripts network, supports EPCS for controlled substances with PDMP checks, and can send compounded-medication prescriptions electronically to compounding pharmacies. See e-prescribing for details.
On the platform side, yes — DocVilla’s built-in telehealth runs in the browser with no download for patients, supports scheduling across multiple time zones, and lets you chart, prescribe, and bill the visit in one system. Licensure in each state where the patient is located remains the provider’s responsibility.
Yes. A practitioner signs the note, the supervising physician co-signs, and the chart locks once both signatures are in place — with any later updates documented as a separate addendum. See how NP-owned practices use it on the nurse practitioner page.
Billing is built into the EHR: eligibility checks, claims created from the coded encounter, claim scrubbing, electronic filing, ERA posting, denial management, and patient payments in one workflow — see EHR with integrated medical billing. Practices on DocVilla’s EHR that prefer to outsource can add DocVilla’s medical billing services, performed by our own billing team; the service is not offered to practices on other EHRs.
No. Diagnosis and procedure codes are assigned by your providers in the chart, and credentialing with payers is between the provider and each payer. DocVilla handles payer enrollment for electronic claims, eligibility, and ERA, and our guide to provider credentialing for a new practice explains the difference.
Yes. Direct primary care and cash-based practices can set up recurring monthly memberships charged to a card on file, with invoices generated automatically and members managing their subscription through the patient portal — inside the same EHR that files insurance claims for hybrid practices.
Every DocVilla practice gets a free patient portal: online scheduling for in-person and video visits, intake and consent forms, secure messaging, records and results, and online payments. A white-labeled patient portal and mobile apps under your practice’s own brand are also available.
DocVilla exchanges electronic lab orders and results with Labcorp, Quest Diagnostics, AccuReference, and Vibrant Wellness. Each lab approves the connection for your practice as part of setup; see lab integration for how orders and results flow into the chart.
Yes. DocVilla is HIPAA compliant, with data encrypted in transit and at rest, audit trails, role-based access controls, two-factor authentication, and a Business Associate Agreement for every practice.
DocVilla is cloud-based and runs in a modern web browser on Mac, Windows, and tablets — nothing to install on your computers, and your patients use the portal and mobile apps on their own devices.
Email and phone support, a ticket portal, a searchable knowledge base, and training videos — plus the option to add features as your practice grows. DocVilla is rated 4.9/5 across 178 reviews on Capterra, Software Advice, and GetApp, including awards for customer support; read what practices say on our reviews page.

My notifications aren't coming through on a Mac.
This is a Chrome permission setting on macOS. Go to Mac System Settings → Notifications → Google Chrome → enable “Allow notifications.” Full steps are in the knowledge base.
A Chrome security setting is blocking the session cookie the e-prescribing module uses. In Chrome, open chrome://flags, search “cookies without,” set Cookies without SameSite must be secure to Disabled, and relaunch. Step-by-step screenshots: Chrome cookie fix.
Usually another tab already has the video visit open, or a stale browser cookie is conflicting with the new session. Close any other DocVilla tabs, then clear your browser’s cookies and cache and start the visit again.
Two-factor authentication protects patient data if a password is ever compromised and is part of how DocVilla meets HIPAA security expectations. Read more on the two-factor authentication page.
The DocVilla knowledge base covers every workflow with screenshots, the training video playlist walks through them on screen, and the support ticket portal reaches our team directly.
